How do I get the most out of Loma?

Loma works best when used consistently every day, even small adjustments can make a big difference in results.

  1. Enter every cancellation immediately – don’t wait until the end of the day. The sooner it’s entered, the faster it fills.
  2. Check the Loma queue 4-6 times daily to approve matches and confirm spots.
  3. Encourage patients to keep phones on file –  80% of fills happen via text within 15 minutes.
  4. If texts aren’t filling spots, check your filters – too narrow settings (e.g., one provider only) limit results.
  5. If patients say they’re not getting texts, confirm mobile numbers and opt-in status.
  6. If front desk staff feel overwhelmed, simplify workflow by setting a single Loma “champion” to monitor all responses.
  7. Reach out to us if you have a problem!

    1. Eaglesoft – Quickfill List
    2. Dentrix – ASAP List Dentrix
    3. Your own list on paper or sticky notes. How do I create an opening in Loma?

Make sure you have added all patients to the SIP list before adding an opening.

    1. Click on Openings
    2. Click on Add Opening and complete with date, duration, provider and appointment services.
    3. Once you send out an opening, keep an eye on the Openings tab. Once someone responds, they will see “response” next to “open”.  They can open the responses and decide to “reject” or “fill opening”. You will need to add the patient to your actual schedule.

Why would I prioritize a patient in Loma?

It’s a good idea to prioritize the patients that have a greater need/want to get in sooner.  When a group of patients respond “Y” to an opening, you can then choose to give the prioritized patient the appointment.

Watch Video

How does the patient get notified of an opening?

They will receive a text message. The patient can either reply with a “Y” to accept or “N” if they cannot make it. The words “yes” and “no” will work as well. They can also click “view appointment information” which will take them to another page where they can “confirm availability” or click “I’m not available”.

Watch Video

How will my patient know if they got the appointment?

Once you choose the patient to fill the opening, they will receive a text message stating that they have been confirmed for the dental cleaning. The other patients will receive a message that the opening is no longer available and that they will be notified of the next opening.

Why would I close an opening in Loma?

You may have a patient call the office instead of texting back to say they would like the opening. If you give that patient the appointment, you will need to close the appointment in Loma to alert the patients that received the text that the opening has been filled.
